Job Description

This role focusses on the overseeing and management of the provision of professional services within the CCMDD Business Sector of the DOH Production Department, establishing a smooth efficiency that meets the expectations and SLA requirements of the Medipost Customers.

Operational and quality performance.
  • Must have a professional impact and ability to build rapport easily.
  • Professional interaction with other internal departments.
  • Manage Production Team Leaders to see departmental output as required within scheme, and Medipost Pharmacy and GPP rules.
  • Ensure adherence to all Service level agreements.
  • Manage all status in the business from status 70 to status 100 in accordance with SLA's and Business SOPs.
  • Feedback to team on daily quality assurance logs and identification of areas for further training and case studies.
  • Maintain and give input with regards to SOPs and to ensure business process execution is standardized.
  • Stock Management and Stock Take Procedures to ensure proper and effective Stock Control.
  • Retain Medipost client base through service excellence.
  • Daily monitoring of personnel statistics and reporting to operations manager.
  • Assisting staff with general queries.
  • Accurate and quick responses to patient/doctor queries and diligence with follow up work within SLA requirements should this be needed.
  • Positively contribute to a motivated team of high performing staff and maintaining a positive and motivated working environment.
  • Must be able to conduct an interview to identify the best possible candidate within company transformation strategy.
  • Ensure proper handling of necessary disciplinary actions.
Stock Management.
  • Effective management of Stock Returns SLA to allow dispensing and patient care within the expected time frame.
  • Stock Accuracy at Receiving, receiving processes and follow-up on quantity discrepancies received from suppliers. Measurement on Process - Audit.
  • Procurement. Measurement according to National Stock Usage report.
  • Stock Rotation in the Warehouse, expired stock management. Measurement on Write-off report.
  • Slow movers in the Warehouse, identification and early action to prevent write-offs. Measurement on Write-off report.
  • Management and cost driving on all Production Consumables and Packaging. Decrease of 8% on total packaging costs, and 4% decrease on consumables.
  • Definite and deliberate approach towards systems and processes to limit stock theft. Implementation and improvement of entry and exit of employees and stock in Production.
  • Warehouse Management. Full and adequate systems in place to ensure Housekeeping and Chronological packing order.
  • Replenishment of Flow racks, Tamper Free area and Fine Pick Area. Availability of 99% on available stock in bins.
  • Stock Take preparations and accurate stock take count of below 0.2% error rate on counting sheets.
  • Effective and in time management of Credits and queries.
Stock Take.
  • All Stock Take preparations and execution will form part of the Input Manager's responsibility. Measurement is the Stock Take Variance number.
QA, Picking, and Workflow.
  • Delayed delivery report of 0 parcels in Red Bay area.
  • Public holiday, school holiday and disaster recovery management
  • Picking productivity to be optimal through ensuring QA to be presenting stock in time.
  • Management of Urgent, Same Day, Saturday, Next Day deliveries through the Workflow team.
  • QA controls to be checked and improved.
  • Picking of items to be dispensed to be done as per picking frequency, and error rate below 1%.
  • Packing of parcels to be efficient, effective and in such a way to ensure proper patient care. Status 93.
  • Stock and storage thereof are handled according to the GPP standards and Occupational health and Safety act 85 of 1993 is enforced. Quarterly Housekeeping audit to be used as measurement. A 100% score needs to be achieved.
  • Bachelor of Pharmacy
  • Minimum 2 years' experience as a Supervisor.
  • Strong verbal and written communication skills.
  • Highly reliable and strong sense of operational execution.
  • Self-Motivated.
  • Analytical.
