Our client within the automotive financial services industry is seeking a detail-oriented and highly organized Administrative Assistant to support daily finance and office operations. The successful candidate will assist with vehicle finance administration, compliance documentation, dealership coordination, and general office support within a fast-paced automotive environment.
Candidates with previous experience in automotive, dealership, fleet, or financial services administration will be highly advantageous.
Responsibilities- Finance Administration
- Assist with vehicle finance applications and supporting documentation
- Track outstanding payments and maintain accurate financial records
- Support reconciliation of dealership and finance-related accounts
- Prepare reports and administrative summaries
- Compliance & Documentation
- Prepare and manage FICA and POPIA-related documentation
- Ensure contracts and finance files are audit-ready and accurately filed
- Maintain strict confidentiality of client and company information
- Ensure compliance with company procedures and financial regulations
- Fleet & Dealership Coordination
- Assist with vehicle stock and asset administration
- Liaise with dealerships, sales teams, and financial institutions
- Follow up on finance approvals, outstanding documents, and payment queries
- Administrative Support
- Manage calendars, meetings, and office coordination tasks
- Maintain digital and physical filing systems
- Handle general office administration and procurement support
- Assist management with ad-hoc administrative duties
- Matric certificate (essential)
- Diploma or certificate in Administration, Finance, HR, or Business Administration advantageous
- 1-3 years administrative experience
- Previous experience within automotive, dealership, fleet, or financial services environment preferred
- Exposure to finance administration or compliance documentation advantageous Technical Skills
- Strong Microsoft Office skills, especially Excel
- Experience with CRM or financial systems advantageous (e.g., Sage Pastel, Salesforce)
- Strong data capturing and reporting abilities
- High attention to detail
- Strong organizational and time management skills
- Ability to work under pressure, especially during month-end
