Personal Executive Virtual Assistant (Admin, Outreach & Music Industry Support)
Job Description
We are seeking a Personal Executive Virtual Assistant to provide dedicated administrative and operational support to an individual working across music, creative projects, and business administration.
This role is not supporting a team or company - it is solely personal support for one founder, helping streamline admin tasks, manage outreach, coordinate communications, and reduce day-to-day workload.
The ideal candidate is highly trustworthy, proactive, strong in written communication, and comfortable acting on behalf of the client in professional outreach and correspondence.
Key ResponsibilitiesAdministrative & Executive Support
- Manage inboxes and written communications on behalf of the client
- Draft and edit emails, messages, and short-form written content
- Assist with scheduling, calendar coordination, and task follow-ups
- Support day-to-day administrative tasks as priorities shift
Outreach & Networking Support
- Conduct cold outreach via email, DM, or online platforms (no cold calling)
- Research and identify relevant:
- Venues
- Promoters
- Industry contacts
- Potential collaborators
- Initiate outreach using the client's name and accounts (not third-party profiles)
- Track outreach activity and responses
Research & Industry Support
- Research people, companies, and opportunities within the music and creative industry
- Compile findings into clear, actionable summaries
- Identify and organize contact lists for follow-up
Finance & Admin Assistance (Light Support)
- Assist with basic invoicing and financial admin
- Work confidently within spreadsheets (Google Sheets / Excel)
- Navigate and update records in Xero (experience preferred, not required)
- Support financial organization without full bookkeeping responsibility
Workflow & Collaboration
- Communicate via Slack
- Track tasks and projects in Asana
- Maintain clear documentation and task status updates
Tools & Software
Required / Strongly Preferred
- Google Workspace (Docs, Gmail, Calendar, Sheets)
- Google Sheets or Excel (comfortable navigating spreadsheets)
Nice to Have
- Xero
- Slack
- Asana
(Lack of experience with Slack or Asana is not a deal-breaker if willing to learn)
Working Hours
- Part-time: 20 hours per week
- Preferred coverage: UK afternoon hours
- Can include overlap with UK time or work while the client is offline
- Flexible schedule with reliability and consistency
Ideal Candidate Profile
- 3-4+ years experience as an Executive Assistant, Personal Assistant, or Admin VA
- Strong written communication and copy skills
- Highly organized, proactive, and detail-oriented
- Comfortable acting on behalf of the client with professionalism and discretion
- Trustworthy with access to accounts, passwords, and sensitive information
Able to work independently and integrate deeply into the client's workflow
