Introduction

We are looking to recruit a permanent Export Coordinator to work for United Pharmaceutical Distributors (UPD). The role will be based in Lea Glen, Roodepoort reporting to the Business Development Exec: Africa.

Key Performance Areas
  • Liaison between customers and distribution principle customer's to resolve and mitigate queries related to orders, permits, POD's and delivery lead times.
  • Deal with courier queries both internal and external.
  • Process quotations and pro forma invoices.
  • Payment allocations - allocations of freight charges per courier to be overseen and authorized by export Manager
  • Back up support to Dispatch- Follow up on orders not yet dispatched
  • Process orders for both Distribution Export and Wholesale export.
  • Co-ordinate, manage and facilitate the export permit process for distribution principles.
  • Manage and update all permit trackers with liaison between QA and principals on outstanding permits.
  • Ensure all required permits are ready when dispatching orders.
  • Manage Distribution principle's back order, ready to be supplied and control supply process and communicate releases to customers.
  • Process orders and confirm and communicate order responses via e-mail to customers.
  • Effective communication to all distribution principals and their customers within 24 hours.
  • Facilitate all far export documentation, commercial invoices and packing lists and accurately prior to shipping.
  • Facilitate, process and manage all far export orders requiring pro forma invoices according to principal requirements.
  • Manage and communicate shelve life violations to both customers and principals
  • Facilitate flight and vessel bookings and communicating EDD and ETA to customers.
  • Follow up on all deliveries.
  • Liaison with POD department ensuring customs documentation and POD's are captured and supplied timeously.

Qualifications
  • Matric with or NQF 6/7
  • At least 2 years export/warehousing experience.
  • Pharmaceutical product knowledge
  • SAP knowledge
